Producer registration privacy policy

Last reviewed: 18 October 2026.

This information explains how we process the data you provide when creating a producer account, preparing a draft and requesting a review of your winery on Natural Wine. Registration does not automatically publish your profile or enable sales.

Who is responsible

The data controller is FREEDOM ACTIVITIES LLC, which operates the Natural Wine project, with its registered address at 1209 Mountain Road Pl NE, STE R, Albuquerque, NM 87110, United States. EIN: 30-1482810. You can contact us and exercise your rights at general@naturalwine.es.

What information we use

To create and protect your account, we process your email address, a password stored as a cryptographic hash, and the technical data needed for sessions and security. Do not share your password with the team.

In the draft, we process the information you provide about the people, winery and wines: names, written or audio stories, photographs, town and province, growing and winemaking practices, bottle details and technical documents. If provided, we also process the contact, collection and billing details included in your application.

Sections marked as optional can be completed later. Do not send identity documents, customer details or unnecessary personal information about others. Only provide images and content you are authorised to share.

Why we process data and on what legal basis

  • Creating your account, saving the draft and managing your application: to provide the service you request and take steps before a possible relationship with Natural Wine. When you act as a business contact, we use your professional details on the basis of our legitimate interest in handling that contact and managing the relationship with the business.
  • Protecting accounts and files and preventing abusive access: on the basis of our legitimate interest in keeping the service secure, using proportionate access controls and attempt limits.
  • Reviewing and preparing content manually: to handle the application you send to the team. You can write your stories instead of recording them.
  • Meeting applicable obligations and handling claims: only to the extent necessary to meet those obligations or establish, exercise or defend legal rights.

Creating an account does not subscribe you to advertising. A review request is not a blanket authorisation for any use of your photographs, audio or data.

What stays private and what could be published

The draft, originals and submitted application file are intended for review by the authorised team. They are not published automatically. Any texts and photographs prepared are proposals to be reviewed before possible publication.

The exact collection address, tax details and original audio recordings or documents do not become public information when you submit the application. If a public profile is prepared, the content to be displayed will be specified and the relevant permissions reviewed.

Team and technology providers

Access is limited to the authorised team managing and reviewing applications. We use Hostinger hosting infrastructure and email services for internal team notifications. These notifications may include your name, email address, project, stories and wine details; original files, the exact address and tax details are managed in the private application file.

The review process currently offered is manual. Automatic transcription through an AI API and automatic submission of photographs to an editing API are not enabled. Requesting a manual review does not authorise sending your files to external AI services.

If an additional external service is proposed to prepare your audio or images, you will first be informed of its purpose, provider and applicable terms, and the relevant specific authorisation will be obtained before that content is sent.

This application is managed by FREEDOM ACTIVITIES LLC, whose registered address is in the United States. You can request further information about recipients and applicable safeguards by writing to general@naturalwine.es.

How long we keep the data

We retain the necessary data while your account and draft remain open or while your application is being prepared or reviewed. If the application is withdrawn or closed, or the data is no longer needed for this purpose, deletion will be reviewed, except for the minimum information that must be retained to meet applicable obligations or handle potential claims.

Signing out does not delete the draft. Removing files from the profile does not, by itself, delete all originals received. You can request deletion using the contact details provided. The deletion review includes the application's records and files; relevant email and backup copies are managed according to their purpose and necessary retention.

How to exercise your rights

You can request access to, rectification or erasure of your data and, where applicable, restriction, objection or portability by writing to general@naturalwine.es. If any processing is based on your consent, you can withdraw it without affecting the lawfulness of earlier processing.

State your request and the email address associated with your account. If there is reasonable doubt about the requester's identity, we will request only the proportionate information needed to verify it. You can also lodge a complaint with the competent data protection authority; in Spain, the Spanish Data Protection Agency.

Sessions and review

The portal uses a technical cookie to keep you signed in for up to two days. You can sign out from the portal. The team carries out the editorial review of the application; the application does not publish the profile or approve sales by itself.

Privacy preferences in the review edition

The privacy controls let you try and remember a choice in this review edition. External analytics remains off even if you choose to allow it; this choice does not authorize measurement when the website launches.

We use browser local storage, under the key nw_privacy_demo_v1, to keep the choice, its preview scope, the domain, the information version and the decision/expiry dates for up to seven days. This record contains no name, email, visitor identifier, URL, form data or campaign. It is not transferred when the domain changes.

You can view, change or withdraw the choice using «Privacy preferences» at the foot of public pages. Closing the dialog does not mean allowing. When a choice is withdrawn or invalidated, we try to remove the record; if the browser prevents this, we try to replace it with a rejection. If neither operation can be completed, the controls explain this. Analytics remains off in this edition in every case. Before any future activation, these preview choices will be invalidated and a new decision requested.

Privacy preferences

External analytics is off in this review edition, even if you allow it here. We only remember this preview choice in this browser for up to seven days. It will not authorize analytics when the website launches.

No analytics events are sent by these controls.
